This page covers two things: how CarSocialsUK (“we”, “us”, “our”) handles your personal data (Privacy Policy), and the rules for using the site and submitting content (Terms & Conditions). Both apply whenever you visit, submit an event, or contact us.

Part 1: Privacy Policy

We are committed to handling your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

CarSocialsUK is currently operated by an individual as a personal/independent project, not a registered company. Our contact point for all data protection matters is hello@carsocialsuk.com.

2. What data we collect

When you submit an event: your name and email address, the event details you provide (name, date, time, venue, postcode, event type, entry cost, social handle, website/ticket link), and any image or flyer you upload.

When you contact us: your name, email address, and message content.

Automatically, when you browse the site: standard technical logs (IP address, browser type, pages visited) collected by our hosting provider for security and performance.

Cookies: used for essential site functionality, and by embedded content such as Google Maps. See Section 8.

Publicly available information: where we list events sourced from public social media posts or third-party listings, we display only what the organiser has already made public.

3. How we use your data

To publish and manage event listings, respond to enquiries, keep the site secure and functioning, understand site usage to improve it, and — in future, where relevant — deliver paid listing features you’ve purchased.

4. Our legal basis for processing

  • Legitimate interests — publishing event listings and running a functioning, secure site.
  • Consent — non-essential cookies, and any future email communications you opt into.
  • Contract — for any future paid listing features, to the extent necessary to deliver that service.

5. Who we share your data with

We do not sell your personal data. We share it only with the following, where necessary to run the site: our hosting provider (IONOS), Airtable (internal database), automation tools such as Zapier/Make, Google (for embedded maps), and Cloudflare (security/performance, where in use).

6. International data transfers

Some providers above may process data outside the UK. Where this happens, it’s covered by that provider’s own standard international transfer safeguards.

7. How long we keep your data

Event listings stay live until the event has passed, then are archived/removed within a reasonable period. Contact/enquiry data is kept only as long as needed to resolve it, typically no more than 12 months. Technical logs are retained for a limited period for security purposes.

8. Cookies

Essential cookies keep the site functioning and don’t require consent. Third-party cookies (e.g. from embedded Google Maps, or Cloudflare where in use) may also be set. Where non-essential cookies are used, we’ll ask for your consent via a cookie banner on first visit.

9. Your rights

Under UK GDPR you can request access to, correction of, or deletion of your data, restrict or object to processing, request a portable copy, or withdraw consent at any time. Email hello@carsocialsuk.com — we’ll respond within one month.

10. Future paid features

If we introduce paid features (e.g. Featured/Spotlight placements), we’ll collect only the additional data needed to process that transaction — we do not store card details ourselves. This policy will be updated before any such feature goes live.

11. Children’s data

CarSocialsUK isn’t directed at children, and we don’t knowingly collect data from anyone under 16. Contact us if you believe this has happened and we’ll remove it.

12. Security

We take reasonable technical and organisational steps to protect your data, though no method of online transmission is completely secure.

13. Complaints

Contact us first at hello@carsocialsuk.com — we aim to acknowledge any data protection complaint within 30 days. You can also complain directly to the Information Commissioner’s Office (ICO): ico.org.uk / 0303 123 1113.


Part 2: Terms & Conditions

By using this site, submitting an event, or contacting us, you agree to the following.

1. What we are

CarSocialsUK is a free, independently-run directory of UK car events, meets, shows, and drives. We are not the organiser of listed events unless stated otherwise.

2. Using the site

You agree not to submit false or misleading information, upload content you don’t have rights to, disrupt or scrape the site harmfully, harass or defame anyone, or submit spam or unrelated content. We may remove content or restrict access for anyone who breaches these terms.

3. Submitting an event

By submitting, you confirm the information is accurate, that you’re authorised to submit it, and that you’ll notify us of significant changes (date, venue, cancellation). We review submissions and reserve the right to edit, reject, or remove any listing at our discretion. Publication isn’t guaranteed within any specific timeframe (typical review is within 48 hours).

4. Content you submit (images, posters, descriptions)

You confirm you own the rights to any content you upload, or have permission from the rights holder. You grant us a non-exclusive, royalty-free licence to display and promote that content on the site and our social channels for the purpose of promoting the event. You remain responsible for ensuring it doesn’t infringe anyone else’s rights. Contact us if you believe any content infringes yours.

5. Accuracy and event liability

Event details are provided by third parties and may change without notice. We are not the organiser of listed events (unless stated otherwise) and have no control over, and accept no liability for:

  • cancellations, postponements, or changes made by organisers
  • the conduct of any attendee, organiser, or third party at a listed event
  • any injury, loss, damage, dispute, or incident arising at or in connection with any listed event

Attendance at any listed event is entirely at your own risk, and subject to that event’s own rules, safety requirements, and organiser’s discretion. Always check directly with the organiser before travelling to an event, particularly for last-minute changes.

6. Third-party links and content

The site links to third-party sites and aggregates news content (“The Piston Press”). We don’t control and aren’t responsible for third-party content, and inclusion doesn’t imply our endorsement.

7. Intellectual property

The CarSocialsUK name, logo, and original site content belong to us. Our branding may not be reproduced without written permission.

8. Future paid features

Where paid features (e.g. Featured/Spotlight placements) are introduced, additional terms specific to that service will be provided at the point of purchase.

9. Limitation of liability

The site is provided “as is.” We’re not liable for indirect or consequential loss arising from your use of the site or attendance at any listed event. Nothing here excludes liability that cannot legally be excluded (e.g. death or personal injury caused by our negligence).

10. Changes to the site or these terms

We may update or discontinue any part of the site or these terms at any time. Continued use after changes means you accept them.

11. Governing law

These terms are governed by the laws of England and Wales, under the exclusive jurisdiction of its courts.
